GENERAL DESCRIPTION OF DUTIES AND RESPONSIBILITIES:

Camino Real Community Services is a Trauma Informed Care Agency and implements the principles of Trauma Informed Care.

Under the supervision of the Director of IDD Services, this position will routinely provide secretarial support to the IDD Director, Access and Intake Director, Community Support Director, Psychology Associate, and other staff when needed.  This position shall function as a liaison between site personnel and administrative staff.  This position performs responsible administrative secretarial work with minimal supervision.  Work requires the ability to maintain contact with many people in various locations (nine-county area).  Duties include  oversight of the GR respite program, data entry, creating and updating contacts, correspondence, filing, preparing complex reports including DIDs, keeping special records and restricted information, minute taking and transcription, high-level phone communication, creating forms, producing, and updating monthly calendars for several staff, ordering, and maintaining supplies and equipment, preparing travel request and vouchers and other duties as assigned.  Serves as the backup to the board liaison and MH administrative assistant as needed.  Determines work procedures and priorities based on the interpretation of general guidelines provided by the supervisor.  Will also provide secretarial support to Executive Director and other executive staff as needed.

MINIMUM JOB QUALIFICATIONS:

Applicants must meet the following minimum qualifications to be eligible for the position:
 
  • Graduation from an accredited high school or GED plus three (3) years of paid administrative support experience.
  • One (1) year (30 semester hours) of accredited college work in a related field may substitute for one year of the required experience.
  • Must possess proficiency with computer and Microsoft Office programs.

PREFERRED JOB QUALIFICATIONS:
 
  • English/Spanish skills; demonstrated ability to read, write, and speak English and Spanish.
  • Lives in a service area.

KNOWLEDGE, SKILLS, AND ABILITIES:
 
  • Ability to work independently, to organize work efficiently, and to communicate effectively both verbally and in writing.
  • Ability to work cooperatively and effectively with other professionals and individuals.
  • Knowledge of business terminology, office practices and procedures, of spelling, punctuation, grammar, and arithmetic.
  • Skill in word processing and in the use of automated equipment and software.
  • Ability to make basic mathematical computations and tabulations, to maintain clerical records and prepare reports, to compose letters and memoranda and to operate automated equipment.
  • Ability to type at a speed to complete work assignments in a timely manner.
  • Ability to take meeting minutes.
  • Be able to schedule and coordinate eligibility testing between consumers and associate psychologists.
  • Be able to utilize the HHSC portal system for data entry.
  • Must have ability to work under conditions requiring physical stamina and ability to work in a stressful environment.
