GENERAL DESCRIPTION OF DUTIES AND RESPONSIBILITIES



MINIMUM JOB QUALIFICATIONS

Applicants must meet the following minimum qualifications to be eligible for the position:

The Maintenance Coordinator is responsible for supporting the goals and objectives of the agency with regards to agency buildings and agency vehicles that includes but is not limited to supporting general property functions such as vehicle maintenance, buildings maintenance & security, groundskeeping, etc.  Responsible for the coordination, planning and tracking of maintenance.   Responsible for resolving service tickets, coordinating preventative maintenance, managing internal data and documents related to the agency fleet is required in this position.  A main responsibility is to handle and filter all incoming maintenance requests, handle communication with vendors, and be proactive to ensure requests are resolved in a timely manner.  Some travel required throughout the service area.   This position requires a detail-oriented individual with good computer skills and a good working knowledge of excel and other Microsoft products to prepare reports for the executive management team.  Duties also involve working with various cities/counties with regards to managing building maintenance issues for non-agency owned buildings.   Camino Real Community Services is a trauma informed system of care, and all employees must participate in Trauma Informed Care Training.    Must be able to work some late hours and an occasional weekend.

Other examples of work duties:  
• Responsible for managing work order inbox and resolving tickets
• Works with vendors to coordinate annual testing and ongoing preventative maintenance programs
• Support the development of the preventative maintenance strategy and help to operationalize that strategy throughout the facility lifecycle
• Participate in a weekly huddle by bringing forward observations and ideas for process improvement
• Work with Department Directors in functional areas, i.e., soliciting bids, scheduling vendor visits, purchasing, communicating with other departments.
• Assists in ensuring the maintenance of the exterior of the property is clean and has an acceptable curb appeal
• Troubleshoot basic requests for repairs to offices/clinics- including but not limited to plumbing, HVAC, electrical, and security systems by facilitating the connection to available vendors for needed service repairs
• Use internal resources to resolve issues independently
  • Ordering and purchasing supplies through our vendors.
  • Answering phone calls and responding to emails.
  • Assist with dispatching work orders to the maintenance and custodial team both internal and external to the agency.
  • Maintains a Master Tracking Record of agency vehicles/fleet.
  • May perform other job duties as assigned.   

MINIMAL JOB QUALIFICATIONS
 
  • High School diploma, GED, or equivalent is required with a minimum of 5 years of customer service or office management experience.  Proficient in computer skills, Word, PowerPoint, and Excel.
  • Applicant must receive favorable background and drug screen results that meet agency Guidelines.
  • Applicant must be proficient in the operations of Microsoft Office (Word, Excel, Outlook, and PowerPoint).
  • US work authorization in the United States (Required)
Note:   Each year (30 semester hours) of accredited college work in a related field may substitute for the required work experience on a year-for-year basis.

PREFERRED JOB QUALIFICATIONS
 
  • Bilingual English/Spanish
  • Experience working in a facility or fleet department.

KNOWLEDGE, SKILLS, AND ABILITIES
 
  • Knowledge of office management principles and practices and administrative procedures, and of the technical program.
  • Knowledge of basic safety principles and practices
  • Knowledge of vehicle operations and management of vehicles
  • Skill in effective verbal and written communication.

    Ability to operate basic office equipment such as fax, copying, and adding machines.
