GENERAL DESCRIPTION OF DUTIES AND RESPONSIBILITIES:

The following is a list of job duties and responsibilities including essential and marginal tasks:
Administrative Assistant duties and responsibilities include providing administrative support to ensure efficient operation of the office.  Supports the Fleet Manager with analysis of fleet operations reports.  This includes analyzing data, identifying trends and outliers, and correcting mistakes where appropriate.  Resolves data errors and escalates other errors to management for solution related to Safety Reports and other reports related to vehicles.  This position requires a detail-oriented individual with good computer skills and a good working knowledge of excel and other Microsoft products to prepare reports for the manager as well as prepare required data reports for the executive director.  May serve as the centralized contact for ordering office furniture and managing vehicle leases.  Duties also involve working with various cities/counties with regards to managing building maintenance issues for non-agency owned buildings.  Camino Real Community Services is a trauma-informed system of care, and all employees must participate in Trauma-Informed Care Training.  Must be able to multi-task in a stressful work environment.  Must be able to work some late hours and an occasional weekend.
  • Ordering and purchasing supplies through our vendors.
  • Answering phone calls and responding to emails.
  • Assist with dispatching work orders to the maintenance and custodial team both internal and external to the agency.
  • Processing invoices through our Accounting Department.
  • Assist employees with company required documents related to safety.
  • Prepares various reports upon receipt of monthly safety logs, vehicle logs, and other data from various offices.
  • Maintains a Master Tracing Record of agency vehicles/fleet.
  • Maintains centralized system related to safety reports, injury reports, Fire Marshall inspections, leased vehicles, vehicle registrations, etc.
  • Performs other job duties as assigned.
MINIMUM JOB QUALIFICATIONS:
Applicants must meet the following minimum qualifications to be eligible for the position:
  • High School diploma/GED or equivalent with at least 2 years work experience in customer service.
  • Applicant must receive favorable background and rug screen results that meet agency guidelines.
  • Applicant must be proficient in the operations of Microsoft Office (Word, Excel, Outlook, and PowerPoint).
  • US work authorization in the United States (Required).
NOTE:  Each year (30 semester hours) of accredited college work in a related field may substitute for the required work experience on a year-for-year basis.

PREFERRED JOB QUALIFICATIONS:
  • Prior work experience managing fire safety reports, inventory, etc.
  • English/Spanish skills; demonstrated ability to read, write, and speak English and Spanish.

KNOWLEDGE, SKILLS, AND ABILITIES:
 
  • Skill in effective verbal and written communication.
  • Skill in working in an office supporting several staff members.
  • Ability to interact with all levels of staff.
  • Ability to work independently in a fast-paced environment.
  • Ability to operate a personal computer and various software packages at an advanced level.
  • Ability to effectively manage multiple assignments in a dynamic environment.
  • Ability to work with confidential information.
  • Ability to operate basic office equipment such as fax, copying, and adding machines.
  • Ability to work under conditions requiring physical stamina and the ability to work in a stressful environment.
